Deleting & restoring facilities
Delete a facility when a site closes for good, such as a store that has shut, a venue whose lease has ended, or a temporary event site. If you deleted one by mistake, you can restore it for a while afterwards.
Quick reference
Where to find it: Settings (cog icon) → Identity and Access Management → Facilities → a facility → Facility Info → Delete facility
Who can access: Organisation admins
Purpose: Delete a facility, or restore a recently deleted one
Before you delete
"Remove its devices and settle its bills first. Deleted facilities are hidden from everyone and can be restored for 30 days."
Before you delete a facility:
- Remove its devices, such as display screens, door controllers and cameras. See Device Management.
- Settle its bills.
- Check who uses it. The Who has access card on Facility Info shows the people whose roles cover it. Move them to another facility if they still need access.
If the site is only closing for a while, for example for renovations, don't delete it. Change its hours instead; see Holiday hours.
Delete a facility
- On the Facilities tab, click the facility.
- On Facility Info, click Delete facility. The Delete facility: facility name dialog takes you through up to four steps.
- Devices: if devices remain, you see "This facility still has devices in Device Management". Remove or move them, using Open Device Management, then click Check again.
- Billing, only if anything is owed: "Everything this facility owes must be settled before it can be deleted." Choose to charge the facility's card, charge the organisation's card, or add it to another facility's next bill.
- Credit, only if the facility has credit: move it to another facility or to the organisation.
- Confirm: read what happens, type the facility name, and click Delete facility.
The Confirm step explains what deleting does:
- "The facility is hidden from everyone, including facility staff, and is unpublished."
- "Billing and usage reporting stop for this facility."
- "Restoring does not reverse payments or moved credit, and the facility comes back unpublished."
The Confirm step also says "Organisation admins can restore it until date. After that, it is permanently deleted."
When it's done, you see "You can restore it from Recently deleted for 30 days."
Restore a facility
Deleted facilities can be restored for 30 days.
- On the Facilities tab, set the Status filter to Recently deleted.
- Find the facility; its row shows how many days are left to restore it. Click Restore.
- Confirm at Restore facility?.
The facility is listed under Active again.
